Purpose of the position:

A member of the Marketing Communications team, the Marketing Events Coordinator works closely with Product Marketing and Sales to ensure successful execution of corporate tradeshow exhibits and associated events, both domestic and internationally. This includes assisting with logistical planning of large multi-segment tradeshows as well as supporting smaller events and meetings.

Essential Responsibilities:

  • Work with Product Marketing and Sales teams to coordinate trade show exhibits, promotions, packaging, shipping, and staff travel plans
  • Travel to and participate in trade shows when necessary, including set-up, tear-down, inventory and shipping coordination
  • Work with vendors, e.g. union labor, booth builder, exhibit house, printer, etc., to ensure timely, cost-effective execution
  • Help coordinate company webinars, including talent, scheduling, logistics and promotion
  • Help coordinate and report on the company’s social media presence
  • Coordinate creation and distribution of Press Releases, communicating deadlines and promoting results
  • Assist with planning of other company meetings and regional conferences, including world-wide sales meetings and distributor receptions
  • Assist with development of trade show strategies and schedules, and coordinate related promotional project activities including both pre-show and post-show communications
  • Track expenses and assist in complete financial reconciliation for tradeshows and meetings

Educational Background and Skill Requirements:

  • Must have 2+ years’ experience in trade show/events coordination
  • Life Science industry experience preferred, not a requirement
  • Bachelor’s degree or equivalent experience in marketing/communications or administration
  • Applicants should be familiar with a variety of the field’s concepts, practices, and procedures, including, but not limited to websites, trade shows, webinars, social media and PR
  • Ability to work in a fast paced environment, with multiple and changing priorities while maintaining strong focus on execution and results
  • Strong interpersonal and collaboration skills with an ability to communicate at all levels of an organization both internally and externally
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Vendor negotiation experience
  • Detail-oriented with excellent follow-up, budgeting, and time management skills
  • Must be proficient in Microsoft Office suite of products (including strong knowledge of Excel)
  • Willing to travel up to 20% domestically to organize events as needed, including travel on evenings and weekends
  • Knowledge of marketing communications and graphics helpful
